Unfailing tips for sending quotes via WhatsApp like a pro

Having Excel or Word documents ready is a way to save time and be more efficient. You can prepare a detailed budget template that includes key information boxes such as: client name, type of product or service, administrative expenses (if applicable), specific database by industry shipping rate, taxes and additional charges for extra services.

This document should have a cutting-edge design that matches your business’s color scheme. If you’re going to include graphics or images, create easy-to-understand designs.

specific database by industry

At the top you can include your logo and at the bottom your local phone number, email, location and any other information you consider relevant. This formal aspect gives your proposal greater credibility.

#2 Personalize each quote

One of the keys to a successful quote is when you manage to personalize it. That’s why it’s important to know the client’s data beforehand using a WhatsApp welcome message or with the strategies you use in each chat to obtain them.

When a customer requests a quote, modify the document you have pre-made and fill it out with their name and the information they provided. This personalization tactic shows the customer that you value their concerns, as well as creating more effective communication.

Once you have prepared the quote to the client’s taste and specifications, proceed to convert the file into PDF format and send it.

#3 Clarify terms and conditions: be totally transparent

Every quote you send must be very detailed and completely transparent. It must not contain fine print or unfavorable conditions for the client that are hidden.

Detail the cost of each service and, text and sms templates for client meetings with realtors, real estate agents and brokers if there is any section that is difficult to explain in one of the boxes, mark it with an asterisk and clearly explain that point at the bottom of the quote.

Ask the customer if they have any questions and explain them in a transparent manner. If they have to pay anything extra, let them know from the start.

#4 Accompany each quote with a text

Sending the quote in a file without an accompanying message is a very common mistake that you should not make. Once you send the quote, you can write a short text that includes a greeting and an invitation to buy. It can be something like this:

“Hello (customer name); I appreciate your interest in purchasing (product or service name). Attached is a detailed quote that includes (brief overview of the budget).

If you have any questions or additional information, we will be happy to help you. Our intention is to serve you in everything you need.”

If you have special discounts, an active contest, or free shuttle service, you can also mention it in that message and give strength to your call to action. You can finish with something like this:

“Your purchase includes free shipping and the opportunity to enter a Mother’s Day contest. Confirm and receive within (delivery time).”
